Committees
Crossroads Geology Conference
March 6-7, 2009
We are proud to host the 100% student-organized Crossroads Geology Conference. As a fully student-run conference, we depend heavily on the participation and creativity of our members on the following committees to help us make essential preparations for a smooth and successful conference.
Welcome Booth (four people)
This committee is responsible for organizing the welcome booth, which includes:
setting up the welcome booth table in the lobby
making name-badges for participants
handing out schedules and abstract volumes at the conference
answering questions
distributing information packets to the industry representatives and presentation judges.
Poster Sessions (four people)
This committee is responsible for organizing the poster session, which includes:
obtaining and assembling the poster boards - last year we had 21 posters.
affixing numbers to the boards and assigning presentations corresponding numbers
helping hang posters and generally helping with poster management.
disassembling the boards and arranging a pickup after the conference.
Friday Breakfast (2 people)
This committee is responsible for organizing breakfast on Friday and Saturday, which includes:
obtaining breakfast goods by donation and/or from a local grocery
providing tea and coffee, cups, creamer, sugar, and spoons
providing plates and napkins and requisite utensils - Breakfast crew must purchase enough to be used for two breakfasts and two lunches (forks, spoons, bowls, plates, napkins, cups)
setting up breakfast on Friday and Saturday at 7:30 am, and putting breakfast good away at 10 am on both days.
This committee has a $150 budget limit for food.
separate food receipts and those for plates, cups, napkins, and silverware (these things will be reimbursed by SGE).
Friday Lunch (2 people)
This committee is responsible for organizing Friday lunch, which includes:
ordering sandwiches and arranging delivery
providing water and soft drinks
Setting up S-201 for lunch
This committee has a $250 budget limit for food.
Friday Dinner (1 person)
This committee is responsible for organizing Friday dinner, which includes:
making a reservation for the Hoosier room at Nick’s.
pre-ordering 12 assorted pizzas
making an announcement to be put in the abstract volume.
This committee has a $500 budget limit for food, and a $100 tip limit.
Silent Auction (2 people)
This committee is responsible for organizing the silent auction, which includes:
acquiring items for donation
setting up the silent auction cabinet in one of the display cases outside of room 129 (talk to Don Hattin or John Bogeman for a key)
making silent auction bid sheets
collecting bids and distributing items to the winners
Banners (1 person)
This committee is responsible for designing and printing several poster-sized banners:
Crossroad Conference with the schedule of events
SGE Rho chapter (both of these will be displayed at the welcome booth)
several posters for the industry booths
Erika will give this person access to the plotter as needed.
Abstract Prep (2 people)
This committee is responsible for assembling the Abstract volume, which includes:
collecting the abstracts
formatting them for the abstract volume
sending the volume to MAXI for printing four days before the conference
preparing the presentation schedule
finding appropriate rooms for the presentations and industry booths
Oral Presentation Moderators
When the schedule has been set, a sign-up sheet will be posted outside of GY227. These people will be responsible for keeping our presentations running on time. THIS IS VERY IMPORTANT. You may have to cut people off if they run over their allotted time.
Photographer (1 person)
This committee is responsible for being present throughout the conference to pictorially record the events of the weekend.
T-Shirts (2 people, 1 designer)
This committee is responsible for designing and organizing the production of T-shirts for the conference. Anyone may present a design to the committee for consideration!
From past experience, get American Apparel for the ladies, and generic T’s for the men in the following sizes (Ladies L-5 and M-5) (Men S-5, M-5, L-10, XL-15)
Hosting Students
We need volunteers who have an extra couch or bed to offer to host visiting students who need accommodations for a night or two while they attend the CGC.
