Meeting Minutes
A motion to approve the August, 2010 minutes as written was made, seconded and passed with one correction:
Under Old Business, Health Engagement Plan, change “plant” to “plan.”
Old Business
Attendance Policy – Vote on Change to Bylaws
At last month’s meeting, Patrick put forth a proposal to change the wording in the BPC Bylaws, Section 6: Conduct of Meetings, Item G. Currently this section reads: “A member who has four absences from regularly scheduled meetings in any twelve-month period shall be removed from the Council. At the time of notification of removal by the Secretary, the member shall be provided with the opportunity to appeal this removal in writing to the Executive Committee. The Executive Committee shall have the power of reinstatement.”
If approved, the new wording would be: “A member who has four absences from regularly scheduled meetings in a fiscal year shall be removed from the Council. Upon the third occurrence a member shall receive written notification from the IUBPC Secretary warning of impending dismissal from the Council upon their next absence. At the time of notification of removal by the Secretary, the member shall be provided with the opportunity to appeal this removal in writing to the Executive Committee. The Executive Committee shall have the power of reinstatement.”
At today’s meeting, a motion was made to make this change to the BPC Bylaws. The motion was seconded and unanimously approved.
Video Surveillance – Policy Draft
Each BPC member received a copy of the proposed Video Surveillance policy draft. Deadline for feedback is October 2. There have been some concerns expressed in the residence halls regarding timeliness of availability of surveillance footage. Residence halls must be able to access surveillance video immediately in case of an emergency. Any additional comments or concerns regarding this policy draft should be forwarded to Jennifer at jlchaffi@indiana.edu.
Health Engagement Plan
New Business
BPC Auction/Fundraising
A suggestion has been made to move the annual BPC auction to sometime next spring, and to give the auction a sustainability theme. Some concern was expressed that people are more inspired to shop around the holiday season, so it might be more difficult to get people interested in a spring auction. Council members are encouraged to present ideas concerning a possible “sustainability” auction to a member of the Executive Committee. The Executive Committee will establish a timeline for the auction and present it at the October business meeting.
Professional Staff Mentoring Program
The BPC was recently asked about its ability to provide a mentor for a new professional staff employee. There is currently a mentoring program in place for faculty, but no such program exists for professional staff. Patrick has volunteered to tailor a mentoring program for PA employees. Such a program could be of great benefit especially now, in the absence of a professional staff orientation program (this program was eliminated in August). The Executive Committee will follow up on this.
OWAfest
The BPC was asked to participate in OWAfest, an open house hosted by the Office for Women’s Affairs, Thursday, September 23, from 4:00-6:00 pm. Jennifer, Maryanne and Grant have volunteered to staff a booth for BPC. Any other council member who is interested should email Jennifer at jlchaffi@indiana.edu.
BPC Business Cards
Jennifer is looking into the possibility of getting some business cards printed for BPC. These cards would be available for BPC members to distribute at BPC-hosted events, including the Know Your Campus events. The cards are relatively inexpensive and would be blank on the back, so that each Council member could write his/her name and email. Jennifer will continue to work on this.
IU Archives Information

Green Teams at IUB – Patricia Moser
Patty did some research to see where green teams are located on the IUB campus. A list of departmental green teams can be found on the Office of Sustainability’s website at: http://www.indiana.edu/~sustain/Green_Teams/index.html. BPC members are urged to offer encouragement and assistance to these teams.
Standing Committee Reports
Executive Committee – 9/07/10
The Executive Committee met in RPS Environmental Operations conference room. In attendance were: Jennifer Chaffin, Susan Fleener, Grant Simpson, Patrick Smith, and Teresa Spiegel. The following items were discussed:
At today’s meeting, Jennifer announced that Dan Rives will speak to the BPC in November. In December, we will hold our holiday reception. Jennifer will also try to confirm a date for Violet Bloom (UHRS) to speak to the BPC about the Classification and Compensation System. Another suggestion for a possible guest speaker is someone from the University Architect’s Office to speak about the Master Plan.
As discussed at the BPC’s retreat in July, Jennifer will check into the possibility of the Library shipping books to PA employees via campus mail, much like the program that is currently available to faculty.
Communications and Marketing Committee
The first newsletter has gone out, and the committee is working on the second edition. The committee will also look into updating PA staff profiles on the website.
Outreach and Advocacy Committee
Two Know Your Campus tours have been arranged for the Kirkwood Observatory. They are: Thursday, September 23 and Thursday, September 30. A date has been set for two Know Your Campus tours at the Art Museum. These “sustainability” tours will be offered Wednesday, October 6 and Thursday, October 7. Tours of the Jordan Greenhouse are planned for November 10 and November 11. Anyone with ideas on additional events should email them to Maryanne at mmcdonnel@indiana.edu.
A suggestion was made to set up a Facebook page and a Twitter account for the BPC. This idea will be put to a formal vote at the October meeting.
Professional Interests Committee
The committee is interested in organizing a “professional” day at IUB, probably early in the spring semester. They would like to showcase grant recipients and UHRs professional development opportunities. This will be discussed further at their next meeting.
Ad-hoc and Campus Committees
Traffic Safety Committee – Doris Wittenburg
The Bloomington Campus Traffic Safety Committee will be holding its first fall meeting September 20, 2-3PM.
Search and Screen/Review Committees
COAS Dean Search and Screen – Dee Verostko
The listing has been prepared and will run for a month, beginning September 24.
School of Journalism, Dean Review – Maryanne McDonnell
The review should finish on September 24.
Announcements
The BPC would like to welcome its newest member, Mark Trotter. Mark works in Russian & East European Studies, and he represents Unit 6. Christina Lirot, who recently took a new position in HPER, will continue to serve in a volunteer capacity.
Our October business meeting will be held in Kelley School of Business, Room 3055, on October 20, from 3:00-5:00 pm. Provost Karen Hanson will be our guest.
